Watkins Shared Adventures — Terms & Conditions
These Terms & Conditions govern all group travel bookings made through Watkins Shared Adventures (“WSA,” “we,” “our,” or “us”). By reserving a trip, travelers agree to the policies below.
1. Role of Watkins Shared Adventures
WSA organizes group travel experiences in partnership with Diamond Tours, a national group tour operator.
All trips offered by WSA use Diamond Tours’ curated itineraries, transportation arrangements, lodging partners, and attraction bookings.
WSA manages local coordination, pricing, participant communication, and any optional add-ons listed for each trip.
Diamond Tours is the vendor supplying the travel experience; WSA acts as the group organizer and booking facilitator.
2. Booking a Trip
Reservations may be made by phone or email using the contact information provided on our flyers and website.
A $75 deposit per person is required at the time of sign-up to secure a reservation.
Reservations are considered confirmed once the deposit has been received.
3. Pricing & Occupancy Types
Each trip offers per-person pricing in the following categories:
Single Occupancy
Double Occupancy
Triple Occupancy
Rates vary by trip and are listed on the printed flyer and the corresponding webpage.
Occupancy type must be selected at the time of booking. Changes may affect final pricing.
Watkins Shared Adventures does not arrange or match travelers with roommates.
Travelers who wish to share a room must register together as part of the same booking. This policy is in place for the safety, comfort, and privacy of all participants.
4. Payment Schedule
The remaining balance is due approximately two (2) months before departure.
Exact due dates are printed on each trip flyer and listed on our website.
Failure to pay the remaining balance by the due date may result in cancellation of the reservation.
5. Payment Methods
Preferred payment method: Check by mail.
Checks should be made payable to Diamond Tours and mailed to:

6. Cancellations & Refunds
6.1 Standard Cancellation Policy
Cancellations made at least two (2) weeks before the trip’s departure date are eligible for a full refund, including the deposit.
Travelers must notify WSA in sufficient time for us to process the cancellation with Diamond Tours before the deadline.
Failure to notify WSA early enough may result in loss of refund eligibility.
6.2 Cancellations Within Two Weeks of Departure
Cancellations made less than two (2) weeks before departure are not eligible for a refund under Diamond Tours’ policy.
Refund protection inside this window is only available if the traveler has purchased Travel Insurance from Travel Confident (Diamond Tours’ recommended provider).
Any claims for late cancellations must be handled directly through Travel Confident.
6.3 Occupancy Changes
If one traveler cancels from a Double or Triple Occupancy reservation:
The remaining traveler(s) are responsible for any price difference resulting from the occupancy change.
Adjusted balances must be paid prior to the release of final trip documents.
7. Traveler Responsibilities
Travelers must review all itinerary details, departure times, hotel information, and requirements prior to the trip.
Special accommodations (mobility needs, dietary considerations, medical requirements) should be communicated at the time of booking.
Travelers are responsible for providing any identification required by attractions, destinations, or transportation partners.
All participants agree to conduct themselves respectfully toward fellow travelers, WSA staff, Diamond Tours staff, and all third-party providers.
8. Itinerary Flexibility
Itineraries are curated by Diamond Tours and may be altered due to venue availability, weather, safety considerations, or other circumstances.
WSA will notify travelers of any significant changes when possible.
WSA and Diamond Tours are not responsible for attractions or services unavailable due to circumstances outside our control.
9. Right to Refuse Service
All travelers must be 21 years of age or older.
Exceptions are not offered for these group trips.WSA reserves the right to refuse service, deny a reservation, or remove a traveler from a trip if their participation:
Poses a safety concern,
Interferes with the enjoyment of the group,
Disrupts operations, or
Violates these Terms & Conditions.
WSA also reserves the right to decline future reservations from individuals who have demonstrated consistently disruptive, disrespectful, or uncooperative behavior on past trips.
This includes situations where actions created undue stress or difficulty for the group, the organizers, or the tour staff.These decisions are made at the discretion of WSA and are intended to protect the comfort, safety, and enjoyment of the entire travel group.
10. Liability
WSA is not liable for injury, loss, delays, property damage, or expenses arising from:
Acts or omissions of Diamond Tours or other third-party providers
Weather, delays, strikes, government actions, or events beyond our control
Travelers participate at their own risk and are encouraged to consider purchasing travel insurance.
