Terms & Conditions
Welcome to Watkins Shared Adventures ("WSA"). The following Terms & Conditions outline important information regarding our group travel experiences, booking policies, traveler expectations, and operational procedures.
These terms apply to all trips organized by Watkins Shared Adventures in partnership with Diamond Tours.
Our Role
Watkins Shared Adventures organizes group travel experiences in partnership with Diamond Tours, the tour operator responsible for transportation, lodging, itinerary planning, and attraction arrangements.
WSA serves as the group organizer and booking facilitator. While we coordinate communication and provide leadership throughout the trip, we do not own or operate transportation companies, hotels, attractions, or other third-party service providers.
Traveler Conduct & Responsibilities
We are committed to creating a welcoming, enjoyable, and respectful travel experience for all participants.
Travelers are responsible for reviewing itinerary details, departure times, and travel requirements prior to travel. Travelers are also responsible for providing any required identification, including passports for international trips.
All travelers are expected to conduct themselves in a courteous, respectful, and cooperative manner at all times.
Travelers agree to:
Treat fellow travelers, WSA leaders, tour staff, drivers, hotel staff, and attraction personnel with courtesy and respect
Follow instructions and adhere to scheduled departure times
Use personal electronic devices in a manner that does not disturb others (earbuds or headphones are strongly encouraged)
Be mindful of shared spaces, including limiting excessive noise
Refrain from disruptive, aggressive, abusive, or inappropriate behavior
Avoid excessive intoxication that negatively impacts the group
Respect motorcoach property, hotel property, and attraction facilities
WSA reserves the right to request reasonable health-related precautions from any traveler exhibiting visible symptoms of illness in order to maintain a safe and comfortable group environment. Such precautions may include wearing a face covering or maintaining appropriate distance when feasible.
Failure to comply with reasonable instructions from WSA may result in removal from the trip without refund. Any expenses incurred as a result of removal, including lodging or transportation home, are the responsibility of the traveler.
WSA also reserves the right to decline future bookings from individuals whose conduct has negatively impacted prior trips.
Payments
Deposit
A $75 per person deposit is required to secure a reservation.
Final Payment
The remaining balance is due approximately two (2) months prior to departure, as specified for each trip.
Failure to submit final payment by the stated due date may result in cancellation of the reservation.

Personal Check (Preferred Method)
Checks must be made payable to Diamond Tours and mailed to:

Reservations are not considered fully secured until payment has been received and logged.
Electronic Payment via WeTravel
Electronic payments may be submitted through our booking partner, WeTravel. Any processing or transaction fees associated with electronic payments are the responsibility of the traveler.
WSA is not responsible for delays caused by mail delivery, bank processing times, or third-party payment platforms.
Cancellations & Reservation Adjustments
Standard Cancellation
Cancellations made at least two (2) weeks prior to departure are eligible for a full refund, including the deposit, provided WSA is notified in sufficient time to process the cancellation with Diamond Tours.
Cancellation date is determined by the date WSA receives and acknowledges the cancellation request.
Late Cancellation (Within Two Weeks of Departure)
Cancellations made less than two (2) weeks before departure are not eligible for a refund under Diamond Tours’ policy.
Occupancy Adjustments
If one traveler cancels from a Double or Triple Occupancy reservation, the remaining traveler(s) are responsible for any price adjustment resulting from the occupancy change.
Travel Insurance
Diamond Tours works with Travel Confident to provide optional travel insurance coverage.
Purchase of travel insurance is entirely optional and is at the sole discretion of the traveler. Insurance must be purchased by the traveler online through Travel Confident at www.travelconfident.com.
The cost of insurance varies based on the cost of the trip. Please check the website and enter your tour number to check rates. THe tour numbers are available at the bottom of the Trips page.
WSA’s role is limited to providing information about the availability of travel insurance. WSA is not responsible for insurance policy administration, coverage decisions, claim determinations, or disputes. All questions and claims must be directed to Travel Confident.
Operational Flexibility & Assumption of Risk
Group travel involves coordination with multiple vendors and circumstances beyond WSA’s direct control. While every effort is made to deliver the planned experience, adjustments may be necessary.
Itineraries may be modified due to weather, safety considerations, operational needs, venue availability, transportation issues, government actions, public health events, or other circumstances beyond WSA’s control.
Travel involves inherent risks. WSA is not liable for injury, loss, delays, property damage, or expenses arising from:
Acts or omissions of Diamond Tours
Acts or omissions of third-party providers
Weather events or natural disasters
Government actions or travel restrictions
Public health events
Transportation disruptions
Other circumstances beyond WSA’s direct control
Travel insurance is strongly encouraged.
Photo & Media Release
During Watkins Shared Adventures trips, photographs and videos may be taken by WSA group leaders or staff. Travelers may also voluntarily share photos or videos with WSA via text message, social media, email, or managed group chats.
By participating in a WSA trip, travelers grant Watkins Shared Adventures permission to use such media for marketing, promotional, and informational purposes, including social media, website content, printed materials, and promotional communications.
No compensation will be provided for such use. Media may be edited or formatted as needed. If a traveler does not wish to appear in promotional materials, they must notify WSA in writing prior to departure. While reasonable efforts will be made to honor such requests, incidental inclusion in group images cannot be guaranteed.
Governing Law
These Terms & Conditions are governed by the laws of the State of Indiana.
